Goal/Purpose
The logistics assistant supports the logistician in implementing and supervising all logistical activities at his/her assigned base.
In particular, he/she lends support to carrying out urgent activities and the filing and archiving logistical documents.
He/she temporarily takes on the basic tasks of the logistics manager in their absence
Main Tasks
Management of supplies:
Update price lists and vendor databases
Control Solidarités International purchase procedures
Verify and process quote requests and IOFs
Compose and archive purchase folders
Implement purchases, monitoring adherence to validation regulations and procedures
Negotiate prices, deadlines, and methods of delivery
Ensure that relationships with suppliers are monitored
Management of vehicle fleet:
Assist in the planning and execution of maintenance and repair work on mission vehicles
Draw up the vehicle schedule
Ensure that a complete breakdown kit is available on board all vehicles
Check that vehicle log books are in place and are used correctly
Assist in monitoring and consolidating fuel consumption and miles traveled for all vehicles
Prevent misappropriation of petrol and spare parts
Monitor the administrative documents for all vehicles
Any other tasks entrusted by the Log Manager or Log Coordination
Management of equipment/telecommunications:
Assist in installing and securing materials
Assist in monitoring and maintaining materials
Organize training sessions in the use of means of communication
Any other tasks entrusted by the Log Manager or Log Coordination
Management and monitoring of IT equipment:
Update antivirus software
Provide teams with adequate means for data backup
Ensure the maintenance and correct use of IT equipment
Any other tasks entrusted by the Log Manager or IT Responsible
Management of Supplies:
Supervise the maintenance and securing of warehouses
Support the logistics officer in carrying out stock checks and physical inventories
Any other tasks entrusted by the Log Manager or Log Coordination
Human resource management:
Assist in the recruitment process and in evaluating the members of the logistical team
Establish team schedules in conjunction with the logistics officer
Ensure or assist with logistical training
Any other tasks entrusted by the Log Manager or Log Coordination
Requirements
Personal Abilities:
Professional experience: 2 years of experience in a similar position (NGO/Private or Public sector)
Languages: English, Haussa, Kanuri
Personal qualities: reliable, honest, very good organization, resistance to stress, good interpersonal skills (communication), team player, the capacity to delegate and to manage, initiative and autonomy, the capacity of prioritization of tasks
Technical Competencies:
Training: Bsc. Economic, management administration supply, social science
Logistics related skills: good knowledge supply chain management, Store management, ICT skill.
Microsoft Office ( Excel and Word skills).

Goal/Purpose
The Logistics Manager will implement and supervise all logistics operations at his/her assigned base.
He/she will organize logistic support for programs, in keeping with Solidarités International procedures.
He/she will assist the field coordinator in the implementation of safety rules.
Main Tasks
Supply Management:
Carry out a purchasing environment analysis at the local level
Updating of price lists and supplier files on regular bases
Manage the Solidarités International purchasing procedures and those from donors funding the programs.
Establish and update purchasing timelines, taking into consideration procurement tables, operation timelines, and contextual and procedural logistical constraints
Receive, approve and process requests for quotes and internal order forms
Ensure that budgetary lines related to logistics are monitored, observed and update LFU (Log follow up) for each project.
Supervise the preparation of purchasing documents and draft the contracts
Participate in the drafting the call for tenders
Supervise purchasing, ensuring that approval rules and procedures are observed
Select suppliers and negotiate prices, deadlines, and delivery methods
Ensure that purchasing documents are complete and archived in keeping with Solidarités International procedures
Ensure that dealings with suppliers are monitored
Communicate and coordinate with coordination the purchase required Coordination and HQ validation.
Vehicle Fleet Management:
Negotiate vehicle rental contracts
Supervise the planning and execution of maintenance and repair work on mission vehicles
Establish vehicle movement schedules
Ensure that a complete breakdown kit is available on board all vehicles
Permanently ensure that all drivers have received general training and carry out regular testing
Ensure that drivers are aware of their obligation to adhere to Solidarités International safety rules and procedures
Check that vehicle log books are in place and are used correctly
Ensure that fuel consumption and vehicle mileage are monitored, consolidated, analyzed and recorded
Prevent the misappropriation of fuel and spare parts
Ensure that all vehicles have accompanying administrative documents and that these are correctly filed and monitored
Update fuel follows up, register fuel consumption of on real-time and integrate the fleet report.
Equipment/Telecommunications Management:
Update statement of the park (durable inventory) in real time
Optimize distribution of materials according to task needs
Update the responsibility follow up regularly.
Organize the installation, safeguarding, and monitoring of materials
Install communication means and ensure that they are regularly maintained
Train teams in the use of these communication means
Management and Monitoring of IT Equipment:
Update antivirus software
Implement backup and data-protection procedures
Ensure the maintenance and correct use of IT equipment
Provide technical assistance to teams and organize training sessions
Stock Management:
Select storage locations and create a plan for the development and security of these sites
Ensure material is stored under suitable conditions and monitor expiration dates
Ensure procedures are followed as stock is checked in and out
See that all documentation linked to stock is complete and correct
Supervise monthly physical stock inventory
Update stock follows up on a daily, weekly and monthly basis.
Human Resource Management:
Analyze and quantify logistics personnel needs
Recruit, train and supervise the logistics team
Conduct performance reviews for members of the logistics team
Organize formal team meetings at regular intervals
Security:
Implement team safety measures as determined by the coordination team
Train teams in safety rules and procedures
Pass on any security-related information to his/her line manager
Reporting/Capitalization:
Ensure the compilation of price and supplier lists, as well as information in use (import-export, exemption, taxes)
Ensure that internal order forms are monitored and that the status of each order is given to the person waiting
Consolidate logistics packs monthly and pass on to the logistics coordinator
Provide the logistics coordinator with all information needed to draft intermediary and final reports
Pass on purchasing reports for closed programs to the coordinators at the established frequency.

Mission
The Stock and Freight Manager supervises the arrival, storage, and shipping of food or non-food items, goods, tools and materials used by Solidarités International or under the responsibility of Solidarités International and stored in the partner warehouse.
He/she is in charge of issuing and monitoring all of the administrative documents linked to the stored goods.
The Stock and Freight Manager is responsible for the shipping and transportation of goods: he/she optimizes the transportation to bases, monitor the security and information about delivery.
He/she offers technical and organizational solutions for the optimization of freight and the reduction of running costs.
Main Tasks
Warehouse Management:
Storage and stocked materials:
Monitor the warehouse’s interior and exterior installations and infrastructures. Good storage condition
Spot damage and alert the line manager.
Verify product quality on delivery. Set aside any non-compliant or infested products and report them to the line Manager
Regularly check product quality during storage.
Warehouse management:
Organize the stock request (in/out) and link with the warehouse partner according to partner’s standards.
Participate in each loading/unloading of cargo at the warehouse.
Fill in the shipping or delivery documents in compliance with Solidarités International’s standards
Ensure good coordination with the procurement manager to organize the reception of cargo.
Freight Management:
Transporters Follow up:
Participate in transporters identification, help in costs and contracts negotiations for truck rentals
Monitor trucks good conditions, equipment (tools, fire extinguisher, …)
Ensure the administrative documents for all trucks are available, filed and monitored
Freight Management:
Collect all freight request forms from bases and organize the cargo movement.
Organize and provide feedbacks on cargo schedule
Ensure proper cargo loading and transport documents (waybill, order mission, military clearance …)
Link with partner warehouse for cargo movement
Request and Collect security clearance from appropriate office for cargos organized by SI
Security:
Ensure follow up of the SI cargo movement. Report all incidents to the line manager
Confirm the road security authorizing a movement
Reporting:
Prepare inventory reports and forward them to the line supervisor
Keep the stock forms updated (soft and hard copies)
Take a monthly inventory of stored goods and materials and reconcile it with the theoretical inventory
Personal Abilities
Dynamic, organized, methodical, team player, with sound communication skills
Languages: fluent in English (additional languages a plus)
Personal qualities: reliable, honest, very good organization, resistance to stress, the capacity to delegate and to manage, initiative and autonomy, the capacity of prioritization of tasks, work under tight deadlines
Technical Competencies:
Professional experience: at least 3 years of experience in a similar position in Logistics especially with INGOs
Bachelor's Degree in Logistics and Supplies or any related fields
IT skills Microsoft software practice, sound Excel skills.
